General overview of "My mail won't send (or receive) problems. "Mail Won't Send" problems 99.9% of the
time are problems with the users mail client, internet connection, computer
configuration, or internet service provider (ISP). when one thinks they have everything else covered. Here are some further thoughts.
Log into your control panel and reset the password?
However, if you are receiving messages, then the password you are using is correct.
If sending is the problem then the necessary settings are:
SMTP Server: mail.yourdomain.com
The "My server requires authentication" box is checked. Means it will
only let you send if you have a login and password. This is not absolutely
required, just eliminates one area of confusion. One can still send if they
check mail first, which also requires a password. If you check mail successfully
then our mail server assumes you are a legitimate user of the system and will
allow you to send too.
Login: you@yourdomain.com This is case sensitive, the
complete email address. It is also referred to as the
Username.
Password: yourpassword You can login to the control panel and change the
password as needed.
Often users tell me that they can't send mail, but what is really
occurring is Outlook will not send messages that are currently stuck in its
Outbox. Google this:
Outlook message stuck in outbox
I get "11,000 for
Outlookmessagestuck in outbox." as the result. The solution for most people
is:
1.) Delete all messages
in your Outbox
2.) Shut down
Outlook
3.) Check and confirm an
active internet connection
4.) Restart
Outlook
Of course this only works if your other settings are
correct.
In some cases this problem is solved by deleting the offending mail
account from Outlook altogether, then start fresh and set it up anew. This will
get you going with the default settings. If you've struggled with it for some
time then the correct settings are most likely fresh in your
mind.
The hardest case
ever, one that almost lost me a customer was where a user had accidentally hit
the comma key instead of the period key when entering the POP and SMTP servers.
I felt very lucky to have uncovered that one.
Do you have a virus?
Unless a user has very good virus software, the chances are you DO have malware,
spyware, spam and viruses on your computer. The job of some of this is to turn
your computer into a spam sending robot. There is a chance that your ability to
handle mail normally has been compromised by one or more of the above threats.
Yes, I have had clients with mail troubles take their computers in to have them
"cleaned" to return with all mail problems resolved.
Disclaimer: If you choose to do this and it does not solve
your problem, don't complain to me.
OK, what to do if it
still is not working; that damn Outlook! Use Webmail. Webmail is server software
application that mimics what Outlook or other computer mail applicatioins do on your
PC (or Mac). You can use Webmail to compose and send mail as well as read and
handle existing mail. I make three different Webmail applications available to
my clients; Horde, SquirrelMail and Round Cube. Which is best? It depends upon
you. They all do the same thing. They differ in small ways. One may have a
better organization of contacts, or another may have a calendar in it too. I
prefer Round Cube, but that's me.
To access Webmail,
there are two routes.
1.) Via CPANEL
a. Log in to your
CPANEL (see above).
b. Click on Email Accounts or Add /
Remove Email Accounts (depending upon your service plan)
c. Find the account
you want to access under Current Accounts heading
b. Enter the complete email address of the mailbox you wish to
access
c. Enter the password and submit
d. Select a webmail
application
Note on
Webmail Some users prefer to use Webmail instead of Outlook or
other computer mail programs. If you are one of them, then there is an option to
"Autoload" the webmail application of choice. This serves to speed up the
process of getting to your mail by not presenting the three Webmail application
choices.
When you delete
messages via Webmail, they are not really deleted. Instead they are moved to the
"Trash" folder. It is important to clean out this folder from time to
time.
